Biscuits Campaign 2018

This year it is our Girl Guide Biscuit Diamond Anniversary - 60 years of selling Girl Guide Biscuits throughout Australia. Biscuit deliveries will commence from Monday 16 April with National Biscuit Day being celebrated on Saturday 26 May.

Biscuit campaign resources have been uploaded to the GGA website in the Leaders password protected section and are available to download now!

Membership Forms and Payment 

For new and renewing Members to be processed efficiently, please make sure all forms and payments are accurate, including current membership forms and clearly identified payments. 

  • The current 2018 Membership forms are available on the website. Please ensure only the 2018 forms are used as these contain current membership fees, updated declaration and clear instructions on Membership payments. 
  • GGQ is not able to accept outdated forms - please destroy old membership forms.
  • There is a large amount of membership payments received into the GGQ Bank Account which cannot be identified or applied. The reference used on all Direct Deposit Payments need to include Membership number or the Members full name. Payments with the reference ‘Guides Queensland’ or ‘Girl Guides’ are impossible to identify without confirmation from the person who made the payment.
  • Please make sure that forms are submitted promptly to State Office.
  • Term Fees are not to come to State Office please encourage Parents/Guardians to check the account details before they deposit.
  • Separate Health Forms are no longer needed as they are now a part of the 2018 Membership form.
  • Youth Membership forms only need to be signed by the Unit Leader.
  • Reminder: the Membership fee has increased by $5 as of 1 January 2018.

Get Started Vouchers

Get Started Vouchers are a fantastic resource for new and renewing Members to receive $150 of financial support to contribute to their Membership payment. However, they do not cover the full Membership fee amount for the first year of Membership. Please ensure that all potential Members are aware of the correct Membership fee and include the balance difference with their Membership form.

  • Round 11 is now closed. Vouchers must be sent to membership@guidesqld.org  by 11 May 2018. Unfortunately vouchers can not be accepted after this date.
  • Applications for Round 12 will open on 25 July 2018.

Licence to Occupy

License to Occupy/Facility Hire agreements – For all sub-leasing of Guide buildings, a License to Occupy needs to be completed by the Lessee and signed by the Region and District Manager. Please send the Licence to Occupy form including the lessees current public liability insurance details, into State Office to be signed off by the SEO and kept on file – please forward to reception@guidesqld.org.

State Office Team and Office Hours

After a State Office staff innovation day in January and a few changes to systems, such as our database, there has been a review of the roles of State Office and how each and every one of the State Office Team supports you – the Member! Updates include the change of GGQ office hours to 8:30am - 4pm and new team members.

Code of Conduct

The new Code of Conduct was released in 2015. As of release, all adults involved in Girl Guiding in Australia are expected to adhere to the Code of Conduct (Guidelines). District Managers are asked to facilitate a discussion of this Code of Conduct early in the year. Parent Support Groups should also be aware of the Code of Conduct and it should be on the Support Group agenda for discussion. District Managers should ensure that all Guide huts and meeting places display the New Code of Conduct and replace any old posters.

Cancellation and refund policy

There has been a change to Girl Guides Queensland’s cancellation and refund policy for events and trainings booked and paid through State Office. This is in line with PGL Kindilan booking procedure and also allows sufficient planning for events. We are finding more and more venues require deposits and charge cancellation fees, so by booking ahead we can ensure enough numbers to make a training or event worthwhile. 

This new policy is as follows:

  • Where an applicant cancels their registration with State Office before the closing date, all monies will be refunded or transferred to another training/event in the same calendar year.
  • Where an applicant cancels their registration with State Office after the closing date (6 weeks before training/event), a refund will be considered upon written application to the appropriate State Manager only if the registration can be transferred to a late applicant.
  • Where a training/event is cancelled by Girl Guides Queensland, all monies will be refunded or transferred to another training/event in the same calendar year. 

Talent Release Forms

Talent Release forms are not the same as Media Release. 

  • Talent Release forms are for a particular one-off event to be sent to the Leaders in Charge (LiC) of the event.
  • Media Release is general photo or video consent for a Member to be included in media publication, which is recorded on all Member profiles in the GGQ database. The Media Release Statement on the current Membership form reads “I authorise Girl Guides Queensland and any person authorised by them to reproduce, publish, broadcast or do any of the acts comprised in the copyright subsisting in: photographs, video footage, voice recording of her in any form deemed appropriate by Girl Guides Queensland.”

Triple Treat

As you know, Triple Treat is a wonderful way to reward girls for bringing in new Members and growing Guiding. As announced by Wendy Leabeater at the AGM, after 10 years she is passing on the responsibility of Triple Treat to Units and Districts. The Triple Treat section of the Membership form will no longer need to be completed after April 1st as the badges will now be available in the Guide Supplies shop at no cost for Units/Districts to manage themselves. If Guide Supplies is sending the badges to a District or Unit a postage fee will still be applicable. A Fact Sheet will be sent to Region Managers for distribution. 
 

2017 Annual Reports

The 2017 Annual Review and Financial Report was presented at the AGM on Friday 23 March 2018. This is a great report on the achievements of 2017, sharing some of the highlights throughout our Regions and programs. Well done!
