State Executive Officer Resignation

Daile Kelleher (State Executive Officer) resigned from GGQ this week to take up another position. We thank her for her enthusiasm and efforts to assist us over the last six months.  We wish Daile all the very best in her new endeavours.

There is a special GGQ Board meeting this weekend to discuss how to best manage the recruitment process for our new SEO and establish an interim plan while this position remains vacant.

In the meantime, it will be business as usual in the office. We have a great team in place, so business as usual means exactly that.  For anything that you would normally contact the State Executive Officer for, or that you feel concerned about please email me or my team at stateteam@guidesqld.org.    

I would also ask for your patience as we work together to ensure the delivery of Guiding is supported.

All Districts should now received their initial biscuit orders with biscuit sales starting to roll in. As we start to prepare for National Biscuit Day on 26 May, be sure to visit the GGA website for all the biscuit resources available to promote your campaign plus their latest biscuit newsletter.

District Biscuit Invoices

  • Invoices have been sent to all Districts for their initial biscuit orders.
  • Districts must make first payments within 2 weeks of invoice
  • Make regular fortnightly payments
  • Final Payment due 31 July 2018.

Need more biscuits?
State Office has excess stock available for Districts to place another order. You will have to organise pickup of stock and all previous biscuit deliveries must paid in full. For more information or to place another order, email Jo at biscuits@guidesqld.org.

Advertising your Biscuits Online
All Districts were sent an email offering help to promote local biscuit campaigns online.

  • To advertise your biscuit sales event on GGA website, GGQ website and GGQ Social media, complete this form.
  • To advertise your biscuit primary contact for your District on the GGQ website, complete this form

Current Practice for Exiting Youth Members 

Currently Leaders and District Managers notify State Office if a youth Member is no longer attending their Unit. All exiting Members recieve an email providing other Guiding options and an opportunity to leave feedback in a survey.

However, if a youth Member has more than three months of their membership remaining they are contacted by State Office to assist them in identifying how they may maximise their remaining membership. These options may include visiting another unit with different meeting times or transferring to Lones.

To meet the needs of a Youth Member in your Unit or District who hasn’t been attending please consider the following:

  • If other activities such as Dance, Sport or Music is conflicting with their Guide time - Lone Guides would suit (they can do Guides when they can and not miss out)
  • If time or location are unsuitable due to a change in their parent’s schedule - another unit in the area may fit into their schedule instead
  • The family has changed location - another unit in their new local area may be suitable or even Lone Guides.
  • If they have health conditions that don't allow consistent attendance - Lones might be an interim option until they are able to attend more frequently
  • School commitments often increase as high school continues - offering Lones is a great option as they can communicate online and they can still attend your Unit for special events

If you have a Youth Member who is no longer attending in your Unit that may benefit from other involvement options with Guides - send through the details to membership@guidesqld.org. Keep the above in mind so that we can continue to give the best possible Guiding experience to our Members.

IMPORTANT NOTE: This process will happen automatically. 
If you suggest the State Office does not further pursue or contact an exiting youth member, please notify membership@guidesqld.org immediately.

Unidentified Payments

GGQ currently has over $4,000 in unidentified direct deposits that cannot be processed due to a few reasons that can be easily overcome with your help. Please CLICK HERE to access the list.

The Unidentified Payments document details the following common occurrences

  • Membership being paid but no Membership form received by State Office.
  • Membership being paid with the reference of ‘Girl Guides’ (or similar) which cannot be matched to a specific Membership form or District
  • Membership being paid without adequate payment reference information for the payment to be linked to a name or potential Member.
  • Term fees being paid to GGQ instead of the District

Unpaid Memberships document received but cannot be matched to payment

  • Direct deposits not recieved or unable to identify
  • Get Started vouchers unable to be processed
  • Recieved Membership forms without payment information
Please review both sheets on this spreadsheet and If you recognise any names or think they might be a part of your Unit/District/Region please contact us. New memberships can only be processed and allocated a membership number if both the forms and funds are received at State Office.  If they are not processed the members cannot be seen on the membership dashboard.

We have confirmed where some of the payments have come from, however as we haven’t received membership forms or responses to our emails they remain on the attached sheet until all required paperwork is received. Please forward all queries and or Membership forms to membership@guidesqld.org

Government House Awards

Our Government House Awards ceremony is booked for Tuesday 3 July. Our Patron, Mrs Kaye de Jersey will be presenting Queen's Guides, some Adult Service awards and Olave Baden Powell Awards to 25 recipients from around Queensland.

State Office Update

In last District Matters the State Office Staff Innovation day was mentioned for Monday 23 April - this has been postponed until further notice. State Office and Guide Supplies will be closed for Labour Day on 7 May 2018.

Get Going Club

Get Going Clubs provides funding to local and regional sport and active recreation organisations to improve their capabilities to better deliver activities in Queensland communities.

You can apply for up $7,500 in funding to improve club capabilities to:
- Provide quality sport and recreation activities
- Improve access to sport and recreation opportunities
- Deliver new opportunities to engage in sport and recreation

Organisations can request funding for one project with any combination of the following components:
- Education and training
- Equipment
- Participation

Round 7 is now open and applications close on the 29 June 2018. If your Region is interested in applying for this funding then please contact Caitlin at caitlink@guidesqld.org

Update from Community Development Officer

Come and Try Days
We have seen many successful Come and Try days running throughout the year. These days are a great opportunity to share the experiences available at Girl Guides, to celebrate and to have fun!

Whilst 9 of our 15 Regions received funding to support these events through the Get Going Clubs funding, at State Office we have been working on a toolkit to support anyone who would like to run a Come and Try Day. These resources are designed to assist you with planning, budgeting, promotion and evaluation. We are currently reviewing these resources and are excited to share them with you. For now, please enjoy a sneak peek at the editable poster. Editable/Digital Marketing Resources
We would love to hear from you about what resources you need on the ground. With the environment and sustainability a key focus, many school newsletters and traditional flyers are becoming obsolete due to digital promotion. Please share with us your thoughts on what editable or digital resources would assist you with promoting Girl Guides to your local community, please send your ideas to Caitlin at caitlink@guidesqld.org 

Dream Big Project
Jessica Kahl, a former Girl Guide in Rockhampton and Civil Engineer founded the Dream Big Project to inspire more girls to enter the field of engineering. The Dream Big Project provides female student from Year 10 to 12 an opportunity to develop their understanding of what it is to be an engineer and the rewarding job prospects on offer in a girls only space.

Jessica was inspired to begin this project after being the only girl who graduated from her engineering course in Rockhampton. Her message is “To any girls considering engineering, you have endless opportunities. Engineering is innovation. It is creativity.” Working with CQUniversity, Jessica has been delivering the Dream Big Project since 2015 and is currently working on expanding the program into South East Queensland. She is passionate about connecting with Girl Guides and inspiring more girls to pursue a career in engineering. We will keep you updated as this project expands into your area.

NCWQ 2018 Bursary Program

The National Council of Women in Queensland are proud to launch its 2018 program of 33 bursaries for female students with several grants from $1,000 available. Check the criteria which range from Year 12 students, TAFE, Bachelor degrees to PhD levels. Applications are open 16 April – 4 June 2018 so visit the NCWQ website www.ncwq.org.au/bursaries to download your application form or email bursaries@ncwq.org.au.
